Who we are

SandPolo organises the SandPolo beach polo event on Sandbanks Beach, Poole. This notice explains what personal information we collect through sandpolo.com and the Patrons' Pavilion booking system, and how we use it.

What we collect

• Enquiries: your name, email address, phone number, organisation and message when you use the contact or partnership forms.
• Hospitality bookings: the lead booker's name, email address, phone number, company and billing address, together with the names, dietary requirements and allergies of guests on the booking.
• Payments: card payments are processed by Stripe. We do not see or store your card details; we keep the payment reference and amount.
• Technical data: the IP address of form submissions, used to prevent abuse.

How we use it

We use your details to answer your enquiry, to deliver the hospitality you have booked (including sharing dietary requirements and allergies with our caterers), to send booking confirmations, reminders and guest-information requests, and to keep you informed about SandPolo where you have asked us to.

How long we keep it

Guest dietary and allergy information is deleted within six months of the event. Booking and payment records are kept for as long as we are required to for accounting purposes. Enquiries are kept until they are resolved.

Cookies and advertising

We use a few essential cookies to keep the website working, for example to protect our forms and to remember your cookie choice. These do not need your consent.

With your permission, we also use the Meta Pixel and Meta's Conversions API to see how our adverts on Facebook and Instagram perform and to show SandPolo adverts to people likely to be interested. They record the pages you visit on this website, when you send us an enquiry and when you click through to buy tickets. When you send an enquiry, your email address, phone number and name are shared with Meta in a scrambled (hashed) form so it can match the visit to an account.

Nothing is shared with Meta unless you choose Accept on the cookie banner, and you can change your mind at any time with Cookie settings at the bottom of every page. Meta's own use of this information is described in its privacy policy.

Your rights

You can ask to see, correct or delete the information we hold about you at any time, and you can unsubscribe from marketing emails whenever you like. Contact us at the address in the footer.
